المتطلبات

المؤهلات والمهارات:

شهادة جامعية في تمويل الأعمال الإدارية/المحاسبة، الأعمال/التجارة، أو غيرها من المجالات ذات الصلة بالعمل مع ما لا يقل عن 05 سنوات من الخبرة العملية في منصب مماثل.
خبرة عمل المنظمات غير الحكومية الدولية لا تقل عن ثلاث سنوات في منصب مماثل ويفضل؛
مهارات اتصال فنية كتابية ولفظية قوية باللغة الإنجليزية؛
موجه نحو النتائج، وقادر على تحديد الأولويات والوفاء بالمواعيد النهائية في بيئة ديناميكية
القدرة على توصيل البيانات العلمية المعقدة إلى المجتمعات وموظفي البرنامج والشركاء بطريقة بسيطة وواضحة
خبرة في تصميم وصيانة نظم وأدوات المعلومات الإدارية
مهارات مجتمعية ممتازة، بما في ذلك مراقبة وتقييم التخطيط المجتمعي.
- ملمًا بحزم الكمبيوتر Microsoft Excel وMicrosoft word وSPSS وACCESS وEPI Info

Job Description /الوصف الوظيفي
Position Title: Admin and Logistic Officer.
Location: Sana'a, Yemen.
Employment Type: Full time.
Number: 1
Contract Duration: 6 Months

Background:

Qatar Red Crescent Society is a nonprofit organization, assist and empowers vulnerable communities within Qatar and around the world by offering life-saving assistance in emergencies, increasing disaster preparedness and resilience to future disasters, improving health care services, contributing to social rehabilitation and capacity building while preserving human dignity Qatar Red Crescent is now recruiting in Yemen as Admin and Logistic Officer position.

Duties and Responsibilities:

Administrative Responsibilities:

Archiving and following up on employee files, movement, and participating in the process of (employment - contracts - working hours - salaries) in the project and branch offices.
Follow up the movement of employees, attendance, absence and leaves of all kinds for the project and branch offices.
Responsible for managing payroll for Sana’a-based staff, and managing procurement and logistics functions and supporting the Office Manager in daily operational activities.
Archiving and documentation of all administrative work in the project.
He/she is directly responsible for following up the assets of the branch offices and to have the necessary documents for those assets.
Follow up on raising the needs of the office and sub-offices of the project and follow up their purchase and method of arrival.
Directly responsible for the movement of rented cars in the branch offices and the project.
Participation and preparation for meetings and express opinion on the results and decisions.
Responsible for announcing / informing all employees of administrative decisions and informing the branch offices.
Supervising the review and audit of the monthly salary statements for the project workers.
The logistic Responsibilities:

The logistic officer is responsible for all aspects of carrying out the work of shipping, clearing and supply as assigned by his line manager (office management), including preparation, coordination, archiving and documentation of all implementation steps, in addition to managing warehouse movement and keeping inventories of all mission returns and updating them completely.

Strategic Responsibilities

Monitoring the movement of warehouses using the numbers mentioned in the evidence on the input and output documents and cards.
The officer oversees admin, logistics and supply chain processes for YHF projects, ensuring compliance with QRCS procedures and donor requirements. The remuneration package includes basic salary, transportation allowance, appearance allowance, social insurance, medical insurance, and income tax.
Modify the manual when needed by adding, deleting or modifying it.
Record all documents related to the movement of materials in stock control cards with quantity and value.
Matching the monthly statement with warehouse cards and stock control accounts
Carry out all customs clearance operations when necessary.
Planning all distribution, receipt and delivery of food, non-food and medical relief items.
In charge of incoming and out-going mails and courier for project office.
Provide reception duties.
Provide support to Project office to work with relevant functions to arrange logistics for events and meetings held in the project sites to ensure that they are properly organized and conducted.
Coordinate the organization of national and international travel including booking vehicles and accommodation, purchasing tickets and travel insurance, arranging visas, logistics, etc. for the project staff.
Provide clerical work support to the Admin and logistic coordinator or the project for preparation of payment slip, petty cash management, expense receipts, supporting documents of partner activities to ensure accurateness and compliance with policies and procedures.
Conduct periodic inventory of office assets.
Photocopy of the project accounting receipts and vouchers.
Graphic design of charts and workshop material
Provide support to other tasks when required.
